Privacy Policy

CaptionKing turns the spoken words in your videos into captions. This page explains what we collect, why, and what happens to your files.

What we collect

• Account details: your name, email address, phone number and password (stored hashed). If you sign in with Google, we receive your name, email and profile picture from Google.
• Your videos: the video you upload is used only to extract the audio and transcribe it. The video file itself is deleted right after the audio is extracted; we keep a single thumbnail frame so you can recognize the project in your history.
• Transcripts and captions: the transcript of your video and the captions we write for it are stored in your account so you can copy them again later. You can delete a project at any time, which removes its transcript, captions and thumbnail.
• Brand Voice: if you import a public Instagram profile or describe your voice, we store that description to write captions in your style.
• Usage and security signals: which features you use, and hashed identifiers (email, network range, device cookie, phone) used only to protect the free trial from abuse. These hashes cannot be turned back into the original values.
• Billing: payments are processed by Stripe. We never see or store your card number.

Who processes your data

To provide the service we send audio to a speech-to-text provider (OpenAI) and transcripts to a language model provider (OpenAI or Anthropic) to write the captions. Files are stored on Railway infrastructure in the United States. Emails are sent through Resend. Public Instagram profiles are read through Apify. Each provider only receives what it needs for that step and is bound by its own data-processing terms. We do not sell your data and we do not use your videos to train models.

How long we keep things

• Uploaded videos: deleted as soon as the audio is extracted, and at the latest 24 hours after upload if the video was never processed.
• Extracted audio: deleted as soon as the transcript exists.
• Transcripts, captions, thumbnails and Brand Voice: until you delete the project, or your account.
• Trial-protection hashes: kept after account deletion so a free trial cannot be claimed repeatedly.

Your choices

• Delete any project from History, or your whole account from Settings.
• Export or correct your account details from Settings, or email us.
• Manage your subscription and receipts from the Billing page.

Cookies

We use a session cookie to keep you signed in and a first-party device cookie that helps protect the free trial. We do not use advertising cookies.

Children

CaptionKing is not intended for children under 13 and we do not knowingly collect their data.

Changes

If this policy changes in a meaningful way we will update the date above and, for important changes, email account holders.
